Job Summary: Performs clerical tasks for Print Production in addition to front desk receptionist. Duties/Responsibilities: Follows and supports all department procedures and company policies. Understands and supports the Company Mission, Vision, Core Values, and Business Attributes. Establishes goals to improve personal and department performance. Plays a role in the execution of company goals that when achieved will accumulate into the fulfillment of the Company's Vision. Quality check Print Production job jackets to verify: Stock issues- verification of stock being "issued" by operators. Receive materials and create labels for envelopes, fanfold, roll-to-roll jobs, and all bindery-finished products. Quality checking all material leaving production. Labeling it correctly and verifying counts, shipments, and destination. Create job jackets and print work tickets for production Supervisors as requested. Monitor and order office supplies, safety supplies, cleaning supplies, and other press and bindery products as needed and requested by Supervisor/Manager. Input occurrences to the "Issue Reporting System" from production to track areas of the business for improvement. Coordinate with shipping and receiving on behalf of Pressroom and Bindery. Coordinate with production and Safety Manager regarding safety initiatives, PPE, health protocols, etc. Stock mockups for Sales, paper requests, and cut downs as requested by Sup/Manager. Coordinate training initiatives for equipment and facilitate the training with employees. IE: Forklift, roll clamp, Reacher, Power jack, lock-out-tag-out, etc. Submit maintenance work orders as instructed by Supervisors/Managers. Update Ink Inventory monthly and as requested. Assist with paper stock inventory monthly and investigate stock-related issues when requested Collect Pressroom and Bindery tally sheets to update monthly totals in production by equipment. Update monthly inventory spreadsheets. Police data collection and shift summary reports generated by data collection daily. Send reports to Manager & Accounting for inventory monthly. Weekly inventory of Bindery and Pressroom supplies IE: Cartons, tape, bander tape, glue, chemicals, cleaners, expendable parts, ink, and press supplies, ETC. Greet guests ("Director of 1st Impressions"). Sign guests in and out per Safety and security protocols. Monitor phone calls, transfer calls, Relay messages. Set up for meetings/special events Order food Organize beverages Assist with set up/clean-up. Assist HR with tasks as needed and approved by Manager. Keep office/reception area clean/organized. Handles multiple requests from department team members. Prioritizes requests to maximize efficiency. Understands the escalation process and reports problems to Manager promptly. Communicates verbally or in writing any issues and status updates concerning jackets, mail or stock pulls in a timely manner. Uses email correspondence appropriately and efficiently. Uses basic knowledge of Print Stream, Inventory System, CRM, and other relevant software applications to support print production and company. Plans for additional resources as needed. Maintains tidy common workstations. Monitors supplies and restocks as necessary. Works overtime as needed, (early late, and weekends). Knows and follows all safety procedures. Reports work-related injuries to supervisor. Operates equipment safely. Performs other duties as required. Required Skills/Abilities: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to read and comprehend simple instructions, short correspondence, and memos Ability to write simple correspondence. Displays loyalty and commitment to the company. Respects company leaders. Has good working relationships with other employees and leaders. Enthusiastic about work assignments and willing to help others. Adjusts to job changes, grasps new ideas in work, handles difficulties and pressure situations with composure. Cooperates and collaborates with other departments. Prompt and regular in attendance. Education and Experience: High school diploma or general education degree (GED); and two years related experience and/or training. Physical Requirements: Regularly required to talk or hear. Frequently required to stand, walk, and sit. Occasionally required to use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, or kneel. Regularly lifts and/or moves up to 10 pounds and occasionally lifts and/or moves up to 50 pounds. Occasionally exposed to moving mechanical parts and fumes or airborne particles.
